How to send a fax to a law firm
Law firms across Canada still list fax numbers on their letterhead, and many clients, banks, insurers and other lawyers use them for signed documents, letters and closing papers. A fax to a law firm usually lands on a shared line, so how you address it matters as much as what is in it. This sendfaxonline.ca guide explains how to send a fax to a law firm so it reaches the right lawyer and you have proof it was sent.
Get Started NowBefore you send
- Get the fax number from the lawyer's current letterhead, email signature or the firm's website. Large firms may have different numbers for different offices or practice groups.
- Note the firm's file or matter number, which their staff use to route documents.
- Ask whether the lawyer wants the document by fax at all. Some firms prefer a secure upload portal for large or sensitive files.
- Check any deadline. If the document must arrive by a certain time, send well before it and confirm the firm's cut-off.
Prepare the cover page
The cover page is how the firm's reception or records staff know where to send your fax. Include the lawyer's name and, if known, their assistant's name; the firm's file number and your own reference; your name, phone number and fax number; the date and total number of pages, including the cover; a one-line description, such as "Signed purchase agreement, 6 pages"; and a confidentiality notice.
Keep the cover page brief and factual. Leave out confidential details such as settlement amounts or account numbers, which belong in the document itself. If you are a client writing to your own lawyer, say so on the cover page so staff route it quickly.
Send the fax online
sendfaxonline.ca recommends FaxToFax.com, which works in any modern browser and has safeguards built for the Federation of Law Societies of Canada's Model Code rule 3.3 on confidentiality, as well as PIPEDA.
- Sign the document first if needed. FaxToFax does not offer e-signatures, so sign on paper and scan it, or sign in another tool and save the result as a PDF.
- Sign in to FaxToFax with your email and the one-time code.
- Attach the PDF, keeping pages in the order the firm expects.
- Add your cover page, using a saved template if you send to lawyers often.
- Enter the firm's fax number and confirm it on the check screen.
- Send, or schedule it if the firm asked for documents at a particular time.
Keep proof of sending
Once the fax shows Delivered, FaxToFax saves a time-stamped delivery receipt with it. Download it and keep it with your copy of the document. If timing could matter later, such as for an offer or a closing, a dated receipt is useful evidence that you sent it.
A delivered status confirms the firm's fax line accepted the pages. It does not confirm that the lawyer has read them, so call or email the lawyer's office to confirm receipt when the document is time-sensitive.
If you are faxing on behalf of a business
Businesses that regularly send documents to lawyers can use the Business plan for a shared inbox, five users and an audit log of every view, download and send. Roles (owner, admin, member and viewer) let you limit who can see legal correspondence.
Lawyers themselves should check their own law society's version of the confidentiality rules, since each province and territory adopts its own code based on the Federation's model. A fax service can support those obligations, but the firm's own practices still matter.
